Executive Assistant
We are currently seeking an experienced Executive Assistant to join a highly successful investment management firm in Boston, MA. This individual will provide high-level administrative support to executive leadership while also helping oversee day-to-day office operations and administrative initiatives. The ideal candidate will have 5–8+ years of experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar role, preferably within investment management, financial services, or a professional services environment. The successful candidate will be highly organized, proactive, polished, and comfortable handling confidential information with discretion.
This is a direct-hire position paying between $120,000-$140,000 (depending on experience). This role supports a hybrid work model with on-site presence in Boston, MA required.
Responsibilities:

Provide comprehensive administrative support to executive leadership, including complex calendar management, meeting coordination, travel arrangements, and expense reporting.

Coordinate internal and external meetings, including agendas, presentations, materials, and logistics.

Prepare, proofread, and format correspondence, reports, presentations, and other business documents.

Manage confidential information and communications with a high degree of professionalism and discretion.

Track deadlines, follow-ups, and action items on behalf of executive leadership.

Support special projects and other administrative priorities as needed.

Oversee day-to-day office operations and maintain a professional, organized, and welcoming workplace.

Manage office supplies, equipment, vendors, building management, maintenance, mail, deliveries, and other facilities-related needs.

Coordinate new hire office setup and onboarding logistics.

Plan and coordinate company meetings, lunches, events, and employee activities.

Serve as a key point of contact for employees, vendors, visitors, and external partners.

Partner with HR and other internal teams on office and administrative initiatives.

Identify and implement opportunities to improve administrative processes and overall office efficiency.
Qualifications:

Bachelor’s degree required.

5-8+ years of experience as an Executive Assistant, Office Manager, or similar role supporting senior leadership.

Exceptional organizational skills and attention to detail.

Strong written and verbal communication skills.

Highly proactive, resourceful, and able to anticipate needs.

Excellent judgment and discretion when handling confidential information.

Ability to manage multiple priorities independently and effectively.

Professional presence and strong interpersonal skills.

Proficiency with Microsoft Office, particularly Outlook, Word, PowerPoint, and Excel.
