Executive Assistant – Private Equity – Boston, MA

We are seeking candidates for an Executive Assistant position at a leading investment firm located in Boston, MA. The Executive Assistant will provide high-level administrative support to members of the C-Suite, manage complex calendar management, coordinate travel arrangements, and prepare meeting materials. The ideal candidate will have 2-3+ years of administrative experience in an investment management or professional services environment and excel in a fast-paced, high-expectation setting

This is a permanent position that will pay a base salary of $75,000 – 85,000 (depending on experience). This position is required to be onsite 4 days per week in their Boston office. 

Responsibilities:

  • Provide executive-level support to senior leadership and investment professionals, ensuring seamless day-to-day operations

  • Manage complex calendars, including scheduling internal/external meetings, calls, and video conferences across multiple time zones

  • Coordinate domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries

  • Process expense reports ensuring accuracy and compliance with firm policies

  • Serve as the liaison between executives and internal/external stakeholders with professionalism and discretion

  • Proactively manage meeting preparation, follow-up, and supporting documentation

  • Handle confidential information with a high degree of integrity and discretion

  • Support other team administrative needs, including document formatting, database updates, and occasional event coordination

Qualifications:

  • Bachelor’s degree in Administration or related field required

  • 2-4+ years of experience as an Executive Assistant, with prior investment management or professional services industry experience is preferred
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Outlook, and travel/expense platforms such as Concur 

  • Strong communication skills, both written and verbal

  • Highly organized with exceptional attention to detail and the ability to prioritize multiple tasks

  • Discreet and trustworthy with experience handling sensitive and confidential information

  • Flexible and adaptable, and willingness to be responsive outside of standard working hours
