Executive Assistant- Manufacturer- Boston, MA
We are seeking candidates for an Executive Assistant position with a highly successful footwear and apparel manufacturer located in Boston, MA. This position will support Senior leaders and will be responsible for calendar management, scheduling and coordination, travel arrangements, and internal/external correspondence. The ideal candidate will have 5+ years of combined administrative and executive assistant experience within a highly reputable work environment.
This is a 3-6+ month contract that will pay $40-50hr (depending on experience) within a 40-hour work week. This position is a hybrid work model, onsite 3 days/week.
Responsibilities:
- Provide exceptional administrative support to a rock-star leader within the organization.
- Responsibilities include, but are not limited to, calendar management, scheduling and coordination (meetings, events, etc.), material preparation, internal/external correspondence, travel coordination, and special project support
- Foster strong working relationships/partnerships to support leaders by engaging effectively across multiple stakeholders at different levels within the organization
- Craft, organize, and manage communication with internal and external teams and professionals, and maintain detailed records of correspondences
- Participate in key meetings, record notes, and summarize meetings to develop and communicate action plan to the broader team
- Move quickly to turnaround pressing action items and project map longer term deliverables
- Consolidate input from internal stakeholders to summarize and prepare executive for meetings
- Identify gaps, needs, and opportunities to support leader to be more effective in managing schedule
- Integrate technology into working platforms
- Evaluate and plan external requests including speaking engagements and industry interviews
Qualifications:
- Bachelor’s degree required
- 5-8+ years of combined administrative and executive assistance experience in an exciting work environment
- Exceptional organization skills and strong attention to detail
- Strong technical proficiency in Microsoft Office Suite, as this role requires preparation and organization of complex materials in Word, Excel, PowerPoint, Adobe, and other software applications
- Proven ability to manage multiple competing priorities
- Proven discretion managing highly confidential information in an energetic and exciting environment
- Self-motivated and able to work effectively with only general guidance, anticipating needs through proactive work and proven project management skills
- Strong written and verbal communication skills
- Occasional travel to regional offices, customer meetings and conferences
