Executive Assistant
We are currently seeking an experienced Executive Assistant to join a highly successful investment management firm in Boston, MA. This individual will provide high-level administrative support to executive leadership while also helping oversee day-to-day office operations and administrative initiatives. The ideal candidate will have 5–8+ years of experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar role, preferably within investment management, financial services, or a professional services environment. The successful candidate will be highly organized, proactive, polished, and comfortable handling confidential information with discretion.

This is a direct-hire position paying between $120,000-$140,000 (depending on experience). This role supports a hybrid work model with on-site presence in Boston, MA required.

Responsibilities:

  • Provide comprehensive administrative support to executive leadership, including complex calendar management, meeting coordination, travel arrangements, and expense reporting.

  • Coordinate internal and external meetings, including agendas, presentations, materials, and logistics.

  • Prepare, proofread, and format correspondence, reports, presentations, and other business documents.

  • Manage confidential information and communications with a high degree of professionalism and discretion.

  • Track deadlines, follow-ups, and action items on behalf of executive leadership.

  • Support special projects and other administrative priorities as needed.

  • Oversee day-to-day office operations and maintain a professional, organized, and welcoming workplace.

  • Manage office supplies, equipment, vendors, building management, maintenance, mail, deliveries, and other facilities-related needs.

  • Coordinate new hire office setup and onboarding logistics.

  • Plan and coordinate company meetings, lunches, events, and employee activities.

  • Serve as a key point of contact for employees, vendors, visitors, and external partners.

  • Partner with HR and other internal teams on office and administrative initiatives.

  • Identify and implement opportunities to improve administrative processes and overall office efficiency.

Qualifications:

  • Bachelor’s degree required.

  • 5-8+ years of experience as an Executive Assistant, Office Manager, or similar role supporting senior leadership.

  • Exceptional organizational skills and attention to detail.

  • Strong written and verbal communication skills.

  • Highly proactive, resourceful, and able to anticipate needs.

  • Excellent judgment and discretion when handling confidential information.

  • Ability to manage multiple priorities independently and effectively.

  • Professional presence and strong interpersonal skills.

  • Proficiency with Microsoft Office, particularly Outlook, Word, PowerPoint, and Excel.
