Executive Assistant | Investment Management | Boston, MA
We are seeking a highly organized, proactive Executive Assistant to support a team of senior professionals in a fast-paced, collaborative environment. This role is ideal for someone who thrives on staying one step ahead, managing competing priorities, and providing exceptional administrative support with professionalism and discretion.
Compensation: $85,000-95,000
Schedule: Onsite 4 days/week
Key Responsibilities:
- Manage complex and ever-changing executive calendars, balancing competing priorities and resolving scheduling conflicts.
- Coordinate domestic and international travel, including flights, hotels, ground transportation, detailed itineraries, and last-minute changes.
- Organize internal and external meetings, including scheduling, logistics, meeting materials, technology, catering, and follow-up.
- Prepare presentations, reports, agendas, and other business documents with a high level of accuracy and professionalism.
- Process expense reports and maintain organized administrative systems and documentation.
- Handle confidential information with discretion and exercise sound judgment when managing sensitive matters.
- Provide backup support to other Executive Assistants and assist with special projects, team events, and process improvements as needed.
Qualifications:
- 3+ years of Executive Assistant or senior administrative experience in a fast-paced professional environment.
- Strong complex calendar management skills and experience coordinating extensive domestic and international travel.
- Exceptional organizational, multitasking, and time management skills with the ability to prioritize shifting deadlines.
- Strong verbal and written communication skills.
- Advanced proficiency with Microsoft Office, particularly Outlook, Word, Excel, PowerPoint, and Teams.
