Operations Publishing Specialist
We are currently seeking candidates for an Operations Publishing Specialist role with a well-established investment management firm located in Boston, MA. This role supports the production, review, and distribution of a wide range of materials, including factsheets, marketing collateral, forms and applications, and regulatory documentation. The ideal candidate will have 2+ years of relevant experience, strong desktop publishing skills, and the ability to manage multiple deliverables in a fast-paced, deadline-driven environment.
This is a 12+ month contract position, paying between $28–$34/hour (depending on experience). This role follows a hybrid work model, consisting of 3 days on-site (Tuesday–Thursday) and 2 days remote (Monday and Friday).
Responsibilities:
• Partner with the Publishing Manager to understand, prioritize, and execute publishing requests across multiple material types.
• Produce, edit, and format documents for print and digital distribution using InDesign and Illustrator within a PC-based environment.
• Prepare PDFs for internal review, incorporate edits and feedback, and manage version control throughout the review process.
• Maintain organized electronic and hardcopy file systems, including preparing materials for print production and submission to translation vendors.
• Support the publishing and delivery of both domestic and offshore regulatory documents.
• Assist with monthly and quarterly updates to factsheets, performance reports, and sales collateral, including review of semi-automated materials in coordination with Quality Control.
• Ensure accuracy, consistency, and on-time delivery of all materials.
• Manage multiple projects simultaneously while accommodating shifting priorities and tight deadlines.
• Provide additional publishing and operational support as needed.
Qualifications:
• 2+ years of experience in publishing, production, or a related operational role.
• Strong working knowledge of PC-based applications, including InDesign, Illustrator, Excel, Word, Outlook, and other Microsoft Office tools.
• Exceptional attention to detail with the ability to independently proof and quality-check work.
• Strong organizational, multitasking, and problem-solving skills in a deadline-driven environment.
• Willingness to learn and adapt in a fast-paced operational setting.
• Strong written and verbal communication skills.
• Ability to work collaboratively in a team environment as well as independently.
