Office Coordinator
We are currently seeking candidates for an Office Coordinator position with highly successful Investment Management firm located in Boston, MA. The Office Coordinator will be responsible for managing reception, performing calendar management, maintaining office/kitchen/gym inventory, handling expense reporting, and assisting with event coordination. The Office Coordinator will work 4 days/week (Monday, Tuesday, Wednesday, and Thursday) on-site in Boston, MA. Typical work hours are 8:00am-4:00pm.
This is a 3-4+ month contract position, paying $25-$33/hour (depending on experience).
Responsibilities:
- Perform reception responsibilities, answering phones and routing to appropriate person(s), welcoming guests, etc.
- Communicate with building security and pre-clear guests for in-office visits and meetings
- Perform calendar management, scheduling, and logistical coordination
- Maintain conference rooms, which includes stocking refrigerators, prepping for meetings, cleaning up post meetings
- Oversee and stock office kitchen (snacks, soda, coffee)
- Support Office Manager in preparing grocery lists and arranging catering
- Perform expense reporting (primarily for Investor Relations team)
- Assist Office Manager in coordinating internal events (in-office activities/lunches/events, portfolio meetings, community service, holiday parties, and company outings)
- Assist Office Manager with ordering any office supplies as needed
- Communicate with vendors and prepare for deliveries and pick-ups
- Check mailbox and distribute any mail items
- Check gym for any items that are running low and restock as needed
- Assist team members as needed with making copies, mailings, etc.
- Coordinate weekly firmwide Boot Camp classes; communicate with Personal Trainer coming on-site and sharing updates and changes with employees
- Support special projects as needed
Qualifications:
- Bachelor’s degree and previous administrative/office coordination experience ideally within professional services
- Excellent communication and interpersonal skills
- Detail-oriented, highly organized, and self-motivated
- Proficiency in Microsoft Office Suite, specifically Word, PowerPoint, Excel, and Outlook
- Previous experience utilizing Microsoft Outlook for calendar management preferred
- Ability to maintain a high-level of professionalism and confidentiality
