Executive Assistant – Real Estate – West Palm Beach – Onsite – Base Salary up to $85k
We are seeking a highly professional Executive Assistant to support 3 Senior Executives on the Development team. The ideal candidate will optimize the executives’ time and serve as a central point of contact between their offices and other senior leadership teams. This role demands a proactive, organized, and detail-oriented individual who can anticipate needs, manage logistics, and ensure smooth operations, allowing the Senior Executives to perform at their highest capacity.
Responsibilities:
- Calendar & Appointment Management: Prioritize and schedule appointments with the executives’ prior approval, reviewing the calendar daily
- Phone & Visitor Coordination: Handle incoming calls, greet guests, coordinate conference room bookings, and arrange meal services as needed.
- Travel Arrangements: Plan and organize travel, including flight bookings, hotel accommodations, car service arrangements, and any changes to travel plans.
- Liaison & Communication: Act as the primary point of contact for the Senior Executives, maintaining clear communication between all parties.
- Meeting Preparation: Ensure executives are fully prepared for all meetings, providing necessary materials and keeping them on schedule.
- Expense Management: Prepare detailed expense reports and collaborate with the Finance department as needed.
- Relationship Building: Develop strong relationships with executive contacts and be recognized as a reliable resource for the team.
- Personal Assistance: Assist with personal tasks as requested by the executives.
- Ad-hoc Projects: Support special projects using Microsoft Word, Excel, and PowerPoint.
- Office Support: Provide coverage for the reception area as needed, booking conference rooms, welcoming guests, and notifying staff of arrivals.
Qualifications:
- 4+ years of experience in an EA or high-level administrative role.
- Excellent communication skills, both written and verbal, with the ability to interact professionally across all levels of management.
- Strong attention to detail and highly developed organizational skills.
- Ability to thrive in a fast-paced environment, handle multiple tasks simultaneously, and shift priorities effectively.
- Exceptional judgment, discretion, and the ability to handle confidential information.
- Self-motivated, team-oriented, and able to work independently.
- Experience in a corporate environment is highly preferred.
- Bachelor’s degree preferred.
