Assistant Trust Administrator- Law Firm- Boston, MA
We are seeking candidates for an Assistant Trust Administrator with a highly successful law firm located in Boston, MA. The Assistant Trust Administrator will be responsible for assisting the Director of Trust Operations and the entire Trust department with a variety of operational and administrative duties including opening new accounts in the trust department, assisting with the coordination of major events during the life of a trust, and facilitating the closing of accounts. This position requires positive contact with clients, attorneys and staff while observing absolute confidentiality of personnel and firm matters. The ideal candidate will have 2-7+ years of trust administration experience and financial services experience.
This is a permanent position that will pay $75k on a base salary (depending on experience).
Responsibilities:

Assist Trust Administration Team, Trustees and Legal Assistants to coordinate the opening of new trusts

Assist with the processing of the receipt of new assets for trusts and provide transfer instructions to counterpart

Coordinate the closing of trust accounts and take direction to distribute assets following established policies, procedures and distribution of securities or cash on closing

Responsible for monitoring and operational oversight as it relates to the Insurance Trust book of business, including but not limited to: ensuring premiums are paid timely, gifts letters are sent, and all appropriate follow up is done to ensure optimal administration

Responsible for reviewing, researching and facilitating the resolution for all overdrafts as they occur in client trust accounts, first working with the Trust Administrators and if directed, then working with the Account Managers

Responsible for working with the Trust Administrators to initiate instructions for AD HOC requests that come across the Trust Administrators’ desks, including but not limited to incoming and outgoing wires or checks

Assist with document production including letters, memorandums, charts and spreadsheets

Maintain an electronic filing system, including filing all client communications and documents on a regular basis

Assist with coverage as needed for the Trust Operations Staff and the Trust Administration team by handling routine and non-routine administrative tasks including: client bill-paying, account maintenance, scheduling and payment of domestic household help, insurance matters, gifting programs, and other tasks as directed
Qualifications:

Bachelor’s Degree or equivalent work experience required

2-7+ years experience in financial services accounting/operations preferred

1-3+ years of trust administration experience including knowledge of trusts, estates and fiduciary and individual tax requirements a plus

Strong interpersonal skills necessary in order to communicate with Trust Administrators, Attorneys and Staff

Ability to demonstrate impeccable integrity in personal and fiduciary matters

Enthusiastic, attentive to detail, flexible and driven while working in a dynamic and challenging environment

Familiar with trust client gift processing, either from an individual or a charitable entity perspective, including the calculation of and modification of Fair Market Value in the Trust Accounting system

Strong ability to organize and prioritize numerous tasks and complete them under time constraints

Proficiency in with Microsoft Office with a working knowledge of Excel

Trust Accounting Systems is a plus
