Administrative Assistant – Hedge Fund (Boston, MA)
We are currently seeking candidates for an Administrative Assistant opportunity with a highly successful Hedge Fund located in Boston, MA. The Administrative Assistant will be responsible for calendar management, travel coordination, reception, office support and administration, and special projects. The ideal candidate will have 1-2+ years of administrative experience ideally within financial services.
This is 3-6+ month contract-to-hire opportunity that will pay between $60,000-$65,000 (depending on experience). The Administrative Assistant will work on-site in the Boston office.
Responsibilities:
- Responsible general administrative and office management responsibilities, and oversee the reception desk (answering incoming telephone calls, greeting visitors, etc.)
- Perform calendar management and coordinate team calendars, including organizing, scheduling, and tracking team meetings
- Assist meeting coordination needs, conduct catering requests/orders for meetings, and ensure visitors are cleared with building security
- Coordinate domestic and international travel logistics and process expenses for team members
- Maintain office space, ensuring clean and organized conference rooms, kitchens, and common areas, and ensure office space is clean and secure at end of day (i.e., turn off TVs, secure lobby doors, clear kitchen counter/sink, turn on dishwasher, etc.)
- Collaborate with the Office Manager to actively monitor the appearance and flow of the office, generate ideas, and carry out tasks aimed at improving organization and the overall experience of working at the firm
- Order, stock, organize, and distribute office supplies
- Route incoming and outgoing mail and package deliveries to employees
- Actively monitor Jira, the organization’s issue tracking system, and coordinate with building management to provide timely resolutions to requests
- Perform general administrative duties across the Investment & Research teams as needed
Qualifications:
- BS/BA degree preferred
- 1-2+ years of professional administrative experience
- Excellent communication and interpersonal skills
- Great organizational, time-management, and prioritization skills
- Solid experience utilizing MS Office Suite (Outlook, Word, Excel and PowerPoint)
- Strong attention to detail and great problem solving skills
- Demonstrated ability to work well independently and as a team member
