Administrative Assistant – Investment Management – Boston, MA
We are seeking candidates for an Administrative Assistant position with a highly successful Investment Management firm located in Boston, MA. The position will be responsible for calendar management and travel coordination. The ideal candidate will have 1-2 years of administrative experience in a professional services setting.
This is a 3 month contract-to-hire position that will pay $25-30/hr (depending on experience) within a 40-hour work week. This position is required to be onsite 3 days/wk in the Boston office.
Responsibilities:
- Maintain calendar management via Outlook
- Handle domestic and international travel itineraries and arrangements
- Provide extensive logistical coordination of meetings with various teams
- Produce various detail-intensive materials including client reporting, presentation materials, meeting prep packets, etc.
- Handle daily mail, file systems, expense reporting, etc.
- Support various projects including assistance with special events and visitors
- Developing and maintaining strong, collaborative relationships with multiple internal and external teams
- Other duties as assigned
Qualifications:
- Bachelor’s degree (REQUIRED)
- 1-2 years of administrative experience in a professional service setting
- Experience in the Investment Management industry is preferred
- Exposure to global contexts, whether professionally and/or personally, is a plus
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Calendar management utilizing MS Outlook is required
- Demonstrated strong attention to detail, diligence, and overall high work quality
- Excellent organizational, multi-tasking and prioritization abilities
- High level of reliability, professionalism, and discretion
- Ability to work under deadlines and to accommodate last-minutes changes
- Excellent written and verbal communication
